The unit of delivery is a set of masters, each already existing in English and Arabic. What decides whether it holds is who produces the sixth one, and in what.
Each artefact drawn once from the identity, with the grid, type and colour locked inside the file. A master is a file the team fills in, not a layout the next person rebuilds.
Every master exists as an English layout and an Arabic one, produced together. Arabic is a second layout, not a translation step, because the alignment, the margins and the line lengths all change.
What somebody who is not a designer produces on a Tuesday. The test is whether the fifth leave-behind is still the approved one, made without asking anybody.

How the next one gets made
A Dubai Media City events agency on a free zone licence uses one of these three. The fifth artefact is where the three separate.

The in-house column is the honest one. For the first two artefacts it is the right answer, because it is quicker than any brief. It stops working at the fifth, when nobody can say which file is approved and the Arabic has been pasted into a grid drawn for English. A kit does not replace a team producing its own material; it gives them a master to produce it from. What those masters are drawn from is a separate purchase, argued at brand identity design, and the naming rule every master carries sits at branding in Dubai.
The UAE context
Webzenia has worked with Gulf clients since 2018. Four things decide what a collateral kit has to be here, and none is a taste question.
Dubai World Trade Centre has 71 major exhibitions and conferences scheduled for 2026, and GITEX alone runs past 6,800 exhibitors. For a company of 15 to 60 people, the stand and what is handed out at it is the largest marketing line of the year. The date does not move.
Nothing goes up in Dubai without an advertising permit, and the sign shows the trade name on the licence, under the outdoor advertising rules DET and Dubai Municipality enforce. A stand fascia is a commercial sign. Which name goes on it is an identity rule; getting it onto artwork is a production one.
A commercial sign in Dubai gives Arabic at least half the artwork, above the English or to its right. A translated caption dropped into a Latin grid fails on line length before it fails on approval. A Karama retailer on a DET mainland licence finds that at the proof, not the layout.
A JLT commodities trader under DMCC, or a Sharjah SAIF Zone assembler: 15 to 60 people, four or five sales staff across the UAE, Saudi Arabia and a home market, and nobody on the payroll who designs. Whatever that team cannot produce alone does not get produced.
What the engagement covers
Six parts, counted back from the day the material has to be in a hall. The last two are the ones a one-off brief skips.
We list what the team is already sending, what the stand or the campaign needs, and the date each piece has to exist by. The list, not the brief, sets the order.
The system is applied to a single artefact and approved there, so everything after it is production rather than a second opinion.
Each master is drawn as an English and an Arabic layout at the same time, on the same grid, so neither one is a retrofit of the other.
Colour, crop, copy fit and the Arabic reading are checked on the real format, before anything reaches a printer or a stand contractor.
Editable masters, plus the export a printer, a stand contractor or a portal will actually ask for, named so nobody has to guess which file to send.
The kit, the source files and a stated retirement date for everything it replaces, so the old set stops circulating the day the new one lands.
Our stack

InDesign is the only one of these that treats a set as a set: paragraph and object styles, a master grid, and right-to-left composition that sets Arabic properly without a plugin.
We build the English and the Arabic layout as two spreads in one document, sharing styles, so a change to the type scale lands in both rather than in whichever file somebody remembered.
How the work runs
The sequence is set by the deadline rather than by the brief. Working backwards is what puts the Arabic and the print proof before the week they become urgent.
We collect what the team is sending now, including the files nobody owns, and set the artefact list against the date each piece has to exist by. The output is a written set list with every item marked keep, redraw or retire. Most of the volume is usually retire.
The system is proved on one artefact, then applied across the set, with the English and the Arabic layouts drawn together rather than one after the other. Colour, crop, copy fit and the Arabic reading are proofed on the real format before anything goes to a printer or a stand contractor.
Editable masters go into Canva, PowerPoint or Figma with the brand fixed and the fields open, alongside the export set a printer or a portal will ask for by name. The old material is retired on a stated date, because an approved file only stays the approved file while the superseded one is gone.

The failures show up months later, at the fifth artefact and the first Arabic version. These four terms are about that.
Every script gets read first
Every Arabic layout in the set is proofed on the real format by someone who reads Arabic, before it reaches a printer or a stand contractor. A file that has only been checked on screen has not been checked.
The licensed name is checked
Every printed surface is checked against the trade licence before artwork is released, the stand fascia included. Which name belongs on which surface is a rule in the identity system, and we apply it rather than deciding it at the printer.
The kit matches your tools
The masters ship as editable files in whichever of Canva, PowerPoint or Figma the team already uses, not the one we prefer. We settle that from what is open on their machines during the first call, and it goes in the scope.
Superseded files get retired
When a master is replaced, the old one is removed from the shared library on a stated date and the team is told. An archived file is a file somebody will still send, which is how a withdrawn price list reaches a buyer at a stand.
