The challenge
A Pune chartered accountancy firm with 140 clients was spending 3.4 hours per client per month on GST filing preparation. Most of that time went to chasing documents, not to the filing itself.
Document collection sat at 54%, which meant partners and staff spent days each month following up over phone and email for invoices and statements. The manual chase capped how many clients the firm could take on without adding headcount.
The approach
Webzenia built a Make automation layer for document collection. Clients received structured requests on WhatsApp Business API, the channel they actually checked, and uploaded documents straight into the workflow.
An AI step on OpenAI read each incoming document, classified it, and matched it to the right client and filing period. Misfiled or missing items were flagged automatically rather than discovered at filing time.
We routed the collected and validated documents into the firm's Zoho records, so the prep work was assembled before a partner opened the file. n8n handled the reminder cadence for clients who had not yet responded.
The system reached production in 5 weeks. Webzenia mapped the firm's existing filing checklist into the automation so nothing changed in how partners actually reviewed a return.
