This notice explains what Webzenia Infotech does with your details when you apply for a role or join the talent pool, under the Digital Personal Data Protection Act, 2023.
- Who is responsible
- Webzenia Infotech is the Data Fiduciary for your details. Write to careers@webzenia.com about anything in this notice.
- What we collect
- When you apply: your name, email, mobile number and city, your CV, your LinkedIn and portfolio links if you give them, your answers to the role’s questions, your notice period and expected pay, any note you add, and how you reached the role. Before an offer based on your current CTC: your last three payslips and the bank statements for the same months. After you accept an offer: your PAN, photo ID, address, qualifications, previous employers and two references, for checks you consent to in writing. When you apply, we do not ask for your date of birth, gender, religion, caste, marital status, photo, Aadhaar or PAN.
- Why we use it
- To assess your application for the role you chose, to contact you about it, to keep a record of how the hiring decision was made and, if you are not hired, to consider you for a closely matching role during the 12 months we keep it. If you join the talent pool, also to email you about matching roles. We never sell your details or use them for marketing.
- Where it is kept
- In Webzenia HQ, our own hiring system, on our server in Mumbai, India, hosted by Oracle Cloud. Your CV is checked for viruses and encrypted when stored, backups are encrypted too, and only the people hiring for the role, and the AI tool named below when they use it, can read it.
- Who else handles it
- Vercel carries the form from our website to our server. Resend sends the emails we write to you, from its servers in Japan. When the people hiring ask it to, Anthropic’s Claude, an AI tool, reads an application against the role’s stated requirements, processing it in the United States. It never scores or ranks you. If a required screening answer rules out the role, the application is flagged for a person to review: a person at Webzenia makes every decision.
- How long we keep it
- For 12 months after we decide on your application or the role closes. Then we delete your CV and remove your name and contact details, keeping only anonymous counts and the activity log the Digital Personal Data Protection Rules, 2025 require. If we have blocked someone as a fraud or security risk, we keep only their email address, mobile number, LinkedIn link and the reason, so we recognise a new application from them. If you withdraw your consent, we do that within 7 days. In the talent pool, for 12 months from the day you sign up; before then we ask whether you want to stay, and delete your details if you do not reply. If you join Webzenia, your application moves to your employee record.
- Your rights
- You can withdraw your consent at any time, which ends your application. You can ask for a summary of what we hold, how we use it and who we have shared it with, and ask us to correct, complete, update or delete it. Reply to any email from us or write to careers@webzenia.com. You can also name a person to use these rights for you if you die or cannot act yourself.
- Complaints
- Write to careers@webzenia.com first: the law asks you to come to us before the Board, and the Digital Personal Data Protection Rules, 2025 give us up to 90 days to answer. If you are not satisfied, you can complain to the Data Protection Board of India.
